Calling all MDE Families

The MDE PFC needs your help!  It is already that time of year when we look towards the next school year.  There will be several PFC Executive Board Positions open for next year.  Please take the time to consider if you can help our school in this way! 

Our Parliamentarian will be collecting volunteer names/nominations for open positions at the upcoming PFC Meetings in March and April.  Voting for open executive positions will occur at the April PFC Meeting.

We are also in great need of several committee chairs for next year. Grab a friend or two and help run a committee!

2018-2019 Open Executive Board Positions
 
Co-President Duties

  • Authority for general supervision, direction, and control of the business, officers, and committee chairpersons.
  • Call all meetings, preside at all meetings, prepare and distribute the agenda for all meetings.
  • Serve as an ex officio member of all PFC committees, unless otherwise specified.
  • Act as an authorized signatory on PFC checks drawn on PFC accounts. In the event of co‐presidents, only one president may sign on anyone check.
  • Review and sign contracts and any agreement that obligates the PFC to $500.00 or more; or beyond the current school year.
  • Represent the PFC or Executive Board when official representation is required or appoint a representative, as needed.
  • NOT vote on any PFC or Executive Board matter unless there is a tie.

Co-Treasurer

Duties

  • This position is best filled by two parties with offset election years. A non‐voting Treasurer’s Assistant may also be appointed by the Executive Board if deemed necessary.
  • Receive all monies, keep accurate and current records of all receipts and disbursements.
  • Pay out all monies of the organization by check. The monies shall be kept in an approved bank.
  • Make disbursements as authorized by the Executive Board or membership in accordance with the budget adopted by the membership.
  • Prepare and distribute the current budget for review at all general and Executive Board meetings.
  • If a meeting cannot be attended, the Treasurer shall designate a general member to review the budget in their absence.
  • Make an annual report to the membership at the last meeting of the year, covering the year’s receipts and expenses.
  • Attend all school events where money is handled directly. The Treasurer shall be responsible for the handling and deposit of all cash collected at any such event. If an event cannot be attended, the Treasurer shall designate an officer to conduct Treasurer duties in their absence.
  • Prepare and submit or direct to be prepared and submitted the annual Federal and State tax statements of this organization.
  • Responsible for these duties until the end of the fiscal year. All records will be relinquished to the newly elected Treasurer at this time.
 
VP Operations

Duties

  • The VP of Operations shall act as the Second Vice President.
  • Responsible to ensuring Copy Paper is ordered and available when needed
  • Ensures that PFC insurance is current and adequate
  • Responsible to organizing PFC Meeting Childcare and payment

VP Events

Duties

  • The VP of Events shall act as the Third Vice President

Communications Secretary

Duties

  • The Communication Secretary shall read all communications and correspond as directed by the Executive Board.
  • Oversee the use of all technological forms of communication including but not limited to: Konstella, Facebook, Emails, Website, etc.
  • Responsible for disseminating information from the Executive Board and Committee Chairs to the general membership within a timely fashion as requested.
  • Communicate to general membership how to receive information thru Konstella and Social Media.

Recording Secretary

Duties

  • Take, record, and report minutes of general and special meetings.
  • If a meeting cannot be attended, the Secretary shall designate a member to take minutes in their absence.
  • Prepare and distribute the previous minutes for review at all general meetings.
  • Keep attendance records at all meetings by means of a sign in sheet.

Parliamentarian

Duties

  • Interpret the policies of the bylaws
  • Chair or appoint a chair of a bylaws committee if changes are necessary after an annual review.
  • Maintain the officer position descriptions and committee roster and ensure an annual review by the Executive Board occurs.
  • Oversee the Executive Board election process by announcing open positions, collecting nomination information and preparing ballots if necessary
